Three simple items to complete before you can submit orders
1 Download Your BAA
Download the Business Associate Agreement for HIPAA compliance. One click and it's done. If your agency requires a custom BAA, email it to admin@hhcoder.com and our team will review and sign it.
2 Provide Your EMR Credentials
Create a dedicated login in your EMR for HH Coder (not your personal credentials). Enter the EMR system, login URL, username, and password.

3 Add a Payment Method
Add a credit card on file. You won't be charged until you submit an order — and your first 3 assessments are free.

Submit Your First Order
From your dashboard, click "New Order" to open the order form.

For each assessment, enter:
- Patient name
- OASIS type — SOC, ROC, Recert, ROC/Recert, Follow-up, or SNA
- Document date
- Comments (optional) — any specific instructions for this chart
You can also add With Review (+$20) or With POC (+$10) as optional add-ons. Need to submit a large batch? Upload a CSV to add multiple assignments at once.
Click "Add" after each assessment. Your assignments appear in the Order Summary on the right.

When you're ready, click "Submit Order". A confirmation dialog shows the hold amount and the card on file. You're only charged once coding is complete.

Track Progress & Receive Coded Assessments
After submitting, your dashboard shows real-time progress. You'll see how many assignments are completed, any active issues, and quick links to manage your orders.

What to expect:
- Typically coded the same business day
- Standard orders completed within 48 business hours*
- Email notification when each assessment is ready
- A coding manager is available if you have questions about any assessment
View your full order history at any time. Each order shows its status, submission date, amount, and whether it's been charged.

*Turnaround time is per assessment during business hours (8am–6pm ET, M–F). Large-volume orders may require additional time. Turnaround may also vary if additional information is needed from your agency. Contact us for turnaround estimates on high-volume submissions.

Our coders have experience across a wide range of EMR systems. We match your agency with coders who already know your platform. If your EMR is less common, our coding managers will coordinate any specific training needed.
